ESP Seminar FAQs

At ESP Ultrasound, we make every effort to facilitate your accommodation during our seminars and while meeting space at each hotel is generous, maximum attendance limits have been established for safety reason. We encourage you to register early since enrollments are processed based on their arrival at our office. Many of our 2018 seminars were at full enrollment and, unfortunately, we were not always able to accommodate latecomers!

Please note: On-site and same day registrations subject to a $50 late registration fee.

1. Registrants are eligible to receive a refund, less a $50 administrative fee if the

following conditions are met:

For Webinars/Seminars:

a. ESP receives the written refund request to at least three

weeks before the webinar start date and;

b. The corresponding workbook(s) have not yet been mailed to the registrant.

2. Registrants are not eligible to receive a refund if any of the following conditions are true:

a. ESP has shipped the workbook to the registrant or;

b. Requests for cancellations are received less than 10 days before the start of the seminar or;

c. The registrant does not attend the scheduled seminar.

3. Attendees may transfer to another ESP webinar within the same calendar year without incurring a cancellation or administrative fee.

Product Purchased with Registration:

  • Discounted pricing and free shipping are given to attendees who purchase products that correspond with their class selection.
  • Free shipping is given to attendees who purchase products that do not correspond with their class selection.
    • Shipping charges = $4.50/item

Due to the discounts and free shipping offered, the following cancellation policy applies to products:

  • Registrants are not eligible to receive a refund on products ordered with their registration. All products sales are final.
  • Registrants who ordered products and are eligible to receive a webinar attendance refund per the webinar attendance cancellation policy above will lose their right to the discounted prices offered and free shipping. See Refund Calculation below.

Refund Calculation (Product Purchased with Registration):

  • The calculated refund for registrations without product sales is:Total amount paid – $50 administrative fee = Net Refund
  • The calculated refund for registrations with product sales is:Total amount paid – $50 administrative fee – full Price of products purchased – shipping charges = Net Refund

For On-Demand CME:

a. ESP receives the written refund request to within one week of registration and;

b. The registrant has not logged into their account.

The following items are included with your seminar registration fee:

  1. Registry review workbook (handed out during on site registration).
  2. Six week of access to X-ZONE (online practice exam questions)
  3. 12 – 24 Category A CMEs issued by the SDMS or Category 1 CMEs issued by Penn State.
  4. Light continental breakfast each day
  5. Afternoon soda break
  6. Highlighter
  7. Peace of mind that you will do well on your upcoming exam

While audio recording at our seminars are accepted, video recording or photography are forbidden. Anyone found in violation of this policy will be removed from class for the remainder of the seminar and the recording device (Smartphones, tablets, video camera or the like) will be confiscated.

Concerning audio recordings, our instructors expect that these recordings are limited to personal use and erased after passing the exam.

ESP Ultrasound partners with the Society of Diagnostic Medical Sonographers (SDMS) to grant CME credits for attending our seminars. After attending the seminar and upon completion of the ESP seminar survey, we will upload our attendance roster to the SDMS. The SDMS will e-mail your CME certificate(s) to you within 1 – 3 weeks following the seminar. Please ensure to check your spam and junk folders.

If you are an SDMS member and your correct certification number is in the SDMS system (ARDMS, ARRT, CCI), then the SDMS will automatically report your CME to the credentialing body. However, it is each sonographers’ responsibility to ensure their CME records are current and accurate.

There are various reasons you may not have received your CME certificate. It may be in your spam or junk folder, your e-mail information with the SDMS is incorrect, or security settings on your mail server may have prevented the e-mail from coming through. In the event you do not receive your CME certificate e-mail three weeks following the seminar, you can contact the SDMS learning department here. You may also call them at 1-800-229-9506. They will resend your CME certificate via e-mail.

Your X-ZONE access will be setup by the end-of-the day Wednesday following the seminar (within 3 business days).

ESP Ultrasound offer’s three different discounts for seminar registration:

  1. $50 off for students who attend an institution that is a part of our Alliance Program
  2. $50 off for repeat attendees who attend two different seminars in the same calendar year
  3. $25 off for any student who currently attends higher any higher education institution or university (verification of student status required).

If you attend two seminars in the same calendar year, you are eligible for a $50 discount on your 2nd seminar. You must pay for and complete your first seminar before you are eligible. To receive your $50 discount coupon code, please e-mail or call our office. Once we verify your eligibility, we will give you the coupon code.

We do not offer discounts for non-calendar year repeat attendees. For example, attending one seminar in year 1 and the second seminar in year 2 will not qualify for the $50 discount.

This discount may not be used in conjunction with other discounts offered by ESP Ultrasound.

To qualify for the $25 student seminar registration discount, please have one of your teacher write us a letter on the institution or university’s letter head verifying your current enrollment.

Once we have verified your current student status, we will e-mail you a one-time use coupon code that may be used during your online registration.

During registration, prior to check out simply add a product to your cart and a discount will automatically be applied.

The following guidelines and procedures apply to the return of Quiz Card Educational Products purchased from ESP, Ultrasound.
1.Permission is required before returning books or quiz cards. Return requests must be submitted in writing to Book Returns Dept., ESP Ultrasound. The requests may be e-mailed. The invoice number, reason for the return, contact person, phone, and e-mail must be on the request.2.Textbook/Quiz Cards/Flash Drive must be in new re-sellable condition in their original shrink wrap and never opened.3.Shipping costs and tracking are the responsibility of the customer. Books should be returned by a traceable method (i.e., UPS, RPS). The customer is responsible for the return shipment until it is received by ESP Ultrasound.4.Returns must be received within 1 month of the invoice date (once approved).5.Returns not accepted by us for credit will be returned to the customer upon request, at the customer’s expense. Requests must be made within thirty days of issuance of ESP Ultrasound’s “Not Eligible for Credit” notice.6.Please notify us within ten days if you receive damaged / defective books or an incorrect shipment (above procedures would not apply).
